Health and Safety
Health and safety is paramount at ROOTS.

All our leaders have first aid training.

At least one leader present will have a food hygiene certificate.

ROOTS has a comprehensive handbook outlining policies and procedures in the event of an accident or emergency, viewable via this link: ROOTS HANDBOOK

All leaders and volunteers must read 'ROOTS' guide for volunteers and assistants' before taking part in an event and are briefed on relevant policies/procedures in situ.

ROOTS carries out regular risk benefit assessments for sites, activities and individual needs as necessary.

All parents of children taking part in ROOTS sessions must inform Roots of medical or allergy information, emergency contact details and complete photograph and first aid consent.
Safeguarding
All ROOTS leaders and volunteers are DBS certified and have experience of working with children.
All staff are briefed on ROOTS Safeguarding policies and procedures.
Terms and Conditions
Data Protection Act 1998
The personal information supplied to Roots will only be used in order to process bookings or to make contact due to cancellation or changes made to the advertised/booked event. Personal details are stored securely on Roots’ booking system database.
In line with EU General Data Protection Regulations (‘GDPR’), when paying for a session, this acts as agreeing to Roots Terms and Conditions, and actively opting in to Roots’ mailing list. Your email address will only be visible by Roots.
Flyers for future events and quarterly seasonal newsletters will be sent periodically. To opt out of our mailing list, please email rootsnorfolk@gmail.com with ‘unsubscribe’ in the subject header. Roots will remove your email address from the mailing list.
Liability and Insurance
1. All participants / parents must be aware of the potential hazards involved with activities and accept the risks associated.
2. Jess King/ROOTS is under no liability whatsoever in respect of loss or damage to personal property.
3. Jess King holds appropriate Public Liability insurance and First Aid qualifications.
4. Parents / participants are responsible for adhering to session safety rules and guidelines, including the site boundary and following safety guidelines around the fire.
5. All parents must:
-consent for participants to take part in risky activities
-provide full contact details
-consent to First Aid being administered in the event of an emergency
-inform Roots of any allergies or medical needs.
Photographs
ROOTS may take photos of participants taking part in activities for publicity, including on social media.
You can, of course, decline this if you would prefer. If you express that you do not want pictures taken then this will be adhered to.
Cancellations and Refunds
Cancellation by the client
1. All cancellations must be sent to Jess King/ROOTS in writing via email (rootsnorfolk@gmail.com) / via telephone/text (07342 979311) or via direct message through our social media site (www.facebook.com/rootsnorfolk) at least 24 hours before the event date.
2. All pre-payments are non-refundable within 24 hours of the session, unless the session is cancelled by Jess King/ROOTS.
Cancellation by Jess King/ROOTS
1. Whilst every attempt is made to ensure that events run, we will notify of any changes by text message and email as soon as is practical where we believe on reasonable grounds that cancellation is necessary due to factors beyond our control i.e. dangerous and/or unsuitable weather conditions. A notice will also be published on our Facebook page for public events and email or telephone contact will also be made.
2. All monies paid to Jess King in respect of the booking will be refunded. Pre-payments can also be kept in credit for future sessions.
Payment of sessions with Roots acts as your acceptance of the T & Cs above.
